It's a wrap on FanWorks 2022!

Starting with 2023 con planning, we're going to be moving con updates & announcements to our website blog. We'll be linking to those here, so if you've gotten your con updates from your Dreamwidth feed, you'll still be able to follow along over here! (Twitter will link directly to the website blog.)

Our first post is up now:

> FanWorks 2022 Wrap-Up <

This post covers
  • a look back at planning for this year's con, from 2019 onward
  • discussion of the con weekend, and what did and didn't work from our perspective
  • a look ahead at planning for 2023

We'll be back in the next couple of weeks with updates on 2023 con planning, and then we'll be going into fall hiatus. If you have any questions, now or during con hiatus, you can email us at fanworkscon@gmail.com!

The schedule for FanWorks 2022 is live!

> View the con schedule here. <

This year's con (both on-site and online) will run on Central (Chicago) time.

The con Discord will open at 6PM on Thursday, August 11th. If you have a con membership (attending or supporting/virtual), Discord invites will appear on your FanWorks dashboard. This may take a few minutes; if by 6:30PM you don't see an invite or your invite link doesn't work, email us at fanworkscon@gmail.com.

A note on all scheduled programming: events and panels are subject to change depending on moderator availability. In some cases, if panel mods are unable to attend the Chicago con at the last minute, those panels may take place online.

If you have questions about the con schedule, con programming, the catering menu, or anything else, you can reach us at fanworkscon@gmail.com.

FanWorks deadlines are approaching! Here are a few dates to keep in mind in the coming weeks:

  • Friday, July 15th: Panel submission deadline
  • Sunday, July 17th: Vid submission deadline for Premieres & Variations
  • Friday, July 29th: Cut-off date for hotel reservations at the con rate
  • Sunday, August 8th: Last day to register to attend the Chicago con

Where to find key info:

If you are currently registered to attend FanWorks, you should have received an email linking you to a check-in form acknowledging that you have read the Chicago con COVID-19 policies. If you didn't receive that email, please let us know at fanworkscon@gmail.com and we'll get it sent to you.

The full con schedule won't be posted until after themed shows and panels are announced, but in the meantime you can check the links above for an overview of con events, a look at how each day of the con will run, and a sample schedule.

> Panel submissions are now open for FanWorks 2022! <

The deadline for panel submissions is Friday, July 15th.

The submission form covers panels for both the online and Chicago cons. If you're attending virtually, your panel(s) will be considered for the online con; if you're attending in Chicago, your panel(s) will be considered for the Chicago con. If you aren't sure yet which con you'll be attending, you can indicate that on the form, and we'll work that out with you if your panel is chosen for the schedule.

You can submit topics without volunteering to moderate them, but panels with volunteer moderators will be given priority when selecting panels. This year, because of the newness of the hybrid format, panels will be chosen by con staff. We'll be selecting panels with the goal of getting an even spread of panels for each of our fanwork tracks, across both parts of the hybrid con (Chicago and online).

The five programming tracks at FanWorks are:

  • Art - drawing, painting, manips, gifs, graphic design, cosplay, textile art, models, jewelry, decor - the track page has many more examples!
  • Audio - podfic, podcasts, fan music, filk, fanmixes
  • Community - platforms (social media, blogs, discord etc.), events (exchanges, fests, cons), curation (recs, wikis), and broader topics related to fanworks that don't fit a specific track
  • Video - fanvids, edits, meta videos, fan filmed content, supercuts
  • Writing - fanfic (writing, reading, beta), meta, poetry, zines

These are just examples of the kinds of things that might fit into each track - not exhaustive lists! If you have an idea for a panel but aren't sure where it fits, take your best guess when filling out the form, and we can take it from there.

We can't do FanWorks without panels, and we can't do panels without you! Any con attendee interested in submitting a panel (or multiple panels) is encouraged to do so. If you have any questions about panel programming, please email fanworksprogramming@gmail.com.

FanWorks will be in a hybrid format, with programming taking place both on-site in Chicago and online, on our usual platforms (Discord, Zoom, and the FanWorks website). The con will run on Central time in all formats.

Programming at FanWorks has three main types:

  • Panels: discussions, presentations, workshops; suggested and run by con attendees
  • Vidshows: themed shows, suggested and curated by attendee VJs; vidder-submitted shows, typically VJed by con staff
  • Events: games, meals, parties, fanwork-focused activities

Things will look a little different from FanWorks 2019 this year. We're doing our best to adapt con programming for the current circumstances and working out ways to balance the online and on-site cons so that everyone has con programming to attend.

Panels

Submissions for on-site and virtual panels are open until July 15th.

Events

We're still working out some of the details of this year's events – particularly online events, which will be scheduled closer to the con and are likely to include past events like Zoom Pictionary.

This year, we're taking a break from Sparkle Motion and the vid singalong. We'll also be switching from the food buffets attendees may remember from 2019 to boxed lunches that can be eaten outside the con space. These are part of our overall risk reduction measures for 2022, and we hope to return to dance parties and communal meals in future years.

At present, the slate of con events includes:

Spaces at FanWorks

The online con will take place primarily on Discord, with panels on Zoom and vidshow streams on the FanWorks website.

In Chicago, at the SpringHill Suites O'Hare, the con event space is on two floors. We'll have a full map of the space and accessibility information for the hotel closer to the con, but for now, here's a brief overview of the con space:

Scheduling

The con weekend will run on Central time, both in Chicago and online.

Unlike past virtual cons, which focused on the weekends, the August online con will match Chicago's schedule, with main programming running Friday - Sunday. The overall schedule format has three 2-hour blocks of daytime programming (with 1-hour lunch and afternoon breaks), a 2-hour dinner break, and a 2- to 3-hour block of nighttime events.

This is a sample of what the Friday schedule could look like:

Hi, everyone!

Good news: FanWorks is proceeding as scheduled in Chicago.

Registration for August 2022, in Chicago and online, is open again on the con website at https://fanworkscon.com/register/.

It continues to be our policy to be as transparent as possible about con planning, and we don't want anyone to have to speculate about what happened. With that in mind: late last week, we were told that the con hotel had lost our event contract, and we entered the weekend in a state of uncertainty about what that would mean for us going ahead. This has all been resolved, as we hoped it would be – but we were uncertain enough that we didn't want to keep it secret, because it would've been wrong of us to allow people to continue to book travel during a period where we weren't sure about the con's future.

Apologies if anyone worried about the con over the weekend! Everything is fine now, and we're very excited to gear up for our August events.

Room Reservations

With that sorted, we now also have a booking link from the hotel for room reservations. Rooms can be booked between now and July 20th, the deadline for reservations at the con rate.

The con's room block includes king and double rooms at $119/night (for either room type). All rooms at the SpringHill include a living area with a sofa and coffee table, and a kitchenette with a microwave and minifridge.

> Rooms can be booked using this link. <

The earliest available check-in under the room rate is Wednesday, August 10th, and the latest available check-out is Monday, August 15th. When planning your reservation, it may be helpful to keep in mind that con programming runs Thursday evening through Sunday evening. (Thursday is currently expected to be registration only, and you can pick up your registration packet on Friday if needed.)

If you run into issues with the booking link, or if it appears that a night or a room type is sold out, please contact us at fanworkscon@gmail.com so that we can try to sort that out for you! There's a minimum number of hotel rooms within the block that we need to reserve, so please don't book at the regular rate without contacting us first.

If you're registered for FanWorks in Chicago, please make sure you read this!

We've put a pause on registration for FanWorks in Chicago, and we're asking currently registered attendees to pause travel plans too. If you haven't already booked your travel, please wait for a further update from us before you do so.

This may only be a temporary pause, and we don't want anyone who has already booked travel to worry! At this point we're assuming the con is going to take place as scheduled.

That said, we're currently negotiating some issues that have arisen with the con hotel after a change in management, and we won't know how that's going to work out until at least after the weekend - so if you haven't already booked travel, just to be safe, we'd like you to wait to book until we know more. We don't want to worry anyone; this is just us being as transparent and cautious as possible, so that if something does happen, we've done what we can to halt travel planning in time.

Please bear with us while we're working on this, and we'll have more information soon.

FanWorks 2021 will be happening online, October 1st - 3rd!

Registration for the virtual con will be $20. The cost of attendance pays for the platforms, panel captioning services, and other paid features we use for the virtual con, and goes toward defraying annual overheads in years without physical conventions.

We'll make an announcement here and on the con twitter (@fanworkscon) when registration opens; we plan to open registration in July.

Some things to know about this year's con:

This is an overview of shows that vidders can submit to this year! This is not inclusive of every vidshow or vid event we'll be having, so check back for future announcements on other shows, including themed vidshows. FanWorks 2022

A brief update on next year's con )

We're currently in the process of updating our website for this year's con, so please pardon our dust while we do so!

We also had some construction dust in the off-season: if you sent an email to any of our fanworkscon.com inboxes during the con hiatus (between November 2020 and June 2021), your messages may not have been received, as we had a mail server switch along the way. Those issues should now be resolved, so any email you send from this point forward is going to active email inboxes. (Apologies! It's been a long, exhausting off-season for all of us.) If there's anything you sent an email about that you did not get a response to, and you still need or would like a reply to your message, please email us again and we'll get back to you as soon as we can.

Four ways to contact us about the information in this post:

jen@fanworkscon.com for questions about registration, policies, or FanWorks 2022, and any other messages for the con chair
fanworksvidtech@gmail.com for vid technical support and questions about Premieres, vid deadlines, or VJing
fanworkszine@gmail.com for anything related to the con zine
fanworksprogramming@gmail.com for questions about programming submission, panels, or vidshow topics

You can also leave a screened comment here, but please be aware that it may take longer to get a reply that way, as sometimes comment notifications can be hit or miss.

There are many ways to contribute to and participate in the virtual con, and plenty of time to do so. Make vids and art! Write and record fic! Brainstorm panels and vidshows! We look forward to seeing what you come up with. And we look forward to seeing you – no participation required; if lurking is your thing, please come lurk with us. Even when we're all just usernames in a con Discord, coming together as a community of fans is something we look forward to every year. We can't wait to see you in October!

Hello again! FanWorks is once again on the move; we hope, fingers crossed, for the last time.

FanWorks will hold its next on-site convention the weekend of August 12th - 14th, 2022.

Please read on for more information on the move to 2022:

Details on the move to August 2022. )

Our plan going forward is to break up the time between FanWorks 2019 and FanWorks 2022 with virtual cons.

The first FanWorks Online will be October 23rd - 25th, 2020.

Registration dates for FanWorks Online 2020, registration costs, and a calendar of vid & zine submission deadlines will be coming in the next two weeks. We'll be hard at work in the meantime updating our website and materials. Please bear with us if this takes some time; circumstances being what they are, everything is likely to take a little bit longer than usual.

There will be a premieres vidshow at the online con, and a con zine. We strongly encourage anyone planning out their next few months of vids / stories / art / etc. to consider sending a premiering vid, fic, or artwork to the con. Details on deadlines and submissions guidelines are coming soon.
