Hello, all! While you’re sharing your con feedback with us, I wanted to share some of our post-con notes with you. Most of these notes are very vaguely formed at this point, but it should give a general idea of things we’re already talking about for next year.

  • Attendee feedback survey: If you attended the con, please take our survey to give us feedback on your experience! As with any con going from its first year to its second, programming may be tweaked here and there, floor maps/other logistical things may change, and so on -- your feedback helps us figure these things out, and we sincerely appreciate it.
  • VJ and Mod feedback survey: This survey went directly to vidshow VJ and panel moderator email inboxes. If you moderated or VJed programming and didn’t get a survey, please let us know!
  • Digital memberships still available: If you want to purchase a membership to have access to the digital con, do so by the end of the day on Friday, August 23rd! All members will have access to digital con materials including the streaming vidshows for at least 90 days (following the live con).
  • AO3 collection: There is now an AO3 collection for works that premiered at or were created at FanWorks! More info here.

We now have an AO3 collection for any digital works submitted to (or created at) FanWorks!

FanWorks 2019 AO3 Collection

Works added to this collection should be limited to those that made their debut at FanWorks (we know many, many vids showed this year, but only premiering vids should be included in the collection). The collection is open and unmoderated, so works can be added to them without a wait time.

As a reminder, zine submissions shouldn't be posted widely until two weeks after the con; those works can be posted starting Monday, September 2nd.

It's almost time for FanWorks! (Some of you may already be in the hotel lobby at this very moment!) But once you get there, how do you find the con space?

The hotel is a large space, and new spaces can be intimidating! To make things a little easier, here's a guide for finding the con space in the hotel. Please note that this isn't an exhaustive guide to space; if you have any accessibility questions about the space, please email access@fanworkscon.com.

Things you might want to bring with you

This is not by any means an exhaustive list and/or a replacement for your own packing list! You know best what clothing, toiletries, medicines, personal items etc. you need; these are just a few ideas for things that are specific to the con or that we ourselves frequently forget when con traveling.

For the con

  • Lanyards or badge reels: Badge lanyards (and/or badge reels) are provided at registration, but you are welcome to bring your own if you wish! If you're planning on bringing your own lanyard or badge reel to wear with your con badge, don't forget to pack it.
  • Items for the swap table: There will be a swap table set up in the info desk room in Salon 2 during all panel / daytime hours. If you want to bring something (or a bunch of things) to leave for another fan to take, please bring those with you and drop them off at the info desk during registration or any time on Friday. 
  • Decorations for your hotel room door: If you are planning to decorate your hotel room door, make sure you have with you most of what you will need for decorating! The con will have scissors, masking tape, and black craft paper available on Thursday for covering doors, plus double sided tape for attaching decorations to the craft paper. Anything else you need, make sure to bring! 
  • An outfit for Sparkle Motion: This is not a requirement! (Well, wearing clothes is; we do require that you do that.) But a lot of people have said to us lately, "whoops, I forgot I needed an outfit for Sparkle Motion," so if you want to have something special to wear to the dance party, here's your reminder! "Something special" can be as formal or informal as you want -- pajamas, glitz and glam, cosplay, jeans and a T-shirt, whatever you feel comfortable in. Keep in mind that the dance floor can get warm (particularly if you've been dancing for hours).
  • Layers: Hotel conference rooms can vary widely in temperature, and our control over this may be limited. A general rule of thumb we have found to be true across hotels is that emptier rooms can be chilly, and full rooms can be quite warm, so packing clothing to layer including light sweaters or wraps can be a good idea for managing panel room temperatures.
  • Fanfic printouts for Fic Book Club: If you will be participating in Fic Book Club and want a hard copy of the fic being discussed to have as a reference, make sure you print and pack it! We will not be able to provide hard copies of fic being discussed on site. (All stories being discussed are available online.) 

For your hotel room

  • Power strips: The #1 thing people tell us they wish they'd remembered to bring: power strips! If you have a lot of devices (and/or a lot of roommates), power strips are a big help.
  • HDMI cord: If you want to plug a laptop into the TV via HDMI, you can, but cables aren't provided; make sure to bring an HDMI cord if you want to do this.
  • A media player such as a Roku, Fire Stick, Chromecast, etc.: Some streaming services such as YouTube are available through the hotel TV cable guide, but if you want access to most of them during the con weekend, bringing your own media player (if you have one that can travel) is a good option to make sure you can watch what you want when you want it.
  • Your media player's remote: If you bring a media player, don't forget the remote! If you do, you likely won't be able to connect your device to hotel wifi. (We have already done this once in this hotel. It was Game of Thrones series finale night. There was much scrambling. Remember to bring your device remotes!) 

Other items for the hotel


  • Swimwear: the hotel has a pool and a hot tub in the atrium, and it's quite lovely (pictures coming in the con space guide!); if you want to use the pool or hot tub, remember to pack swimwear.

The con is one week away! We're putting last touches on events, stocking up for the con suite, and printing final materials. To help us with these final pieces down the home stretch, we need some information from con attendees:

FanWorks 2019 final survey

In the survey we ask for con suite beverage preferences, arrival and departure days if you want to give them (this helps us a lot with planning but is completely optional), and facts about yourself from anyone who wants to participate in the Thursday night scavenger hunt.

But wait, you might be saying: what's the Thursday night scavenger hunt?

New event: scavenger hunt! Get to know your fellow fans, have some fun, and win specially made scavenger hunt buttons. )

The scavenger hunt will take place on Thursday night from 8:00 - 9:00PM on the first floor outside the Salons. We hope you'll join us there!

As the con approaches, so too does the digital con! All attending and digital members will have full access to the digital (website-based) side of the con weekend. (If you purchased anything that says "supporting" membership on the receipt, that's the same as a digital membership.)

Accessing the Digital Con

The digital con kicks off on Thursday, August 15th at 8:00PM Eastern. Access for all members is through your FanWorks dashboard.

You'll need to log in to see your dashboard. If you have purchased a membership of any kind, you already have an account on the FanWorks website; make sure you use that account to log in. If you have an account but don't have a membership, you still have a website dashboard, but you won't have digital con access.

Once the digital con goes live on Thursday night, attending and digital members will automatically gain access on the dashboard. You don't have to enter a code, get a second password, etc. -- just log in to the FanWorks website with your membership account, and you'll see live updates on your dashboard throughout the con weekend.

Schedule and Streaming Vidshows

The con zine, featuring fic, art, and podfic, will go live on Thursday night, as will a full copy of the con program. Streaming vidshows will go live individually, timed to start when the vidshows start at the con. (For example: Introductions, which starts Friday at 1:00PM at the con, will be available for streaming starting Friday at 1:00PM Eastern.)

Once vidshow streams have gone live, they will be available on demand; any vidshow that has debuted at the con will be available for playback at any time.

All digital content will remain available for at least 90 days following the con.

How to Purchase a Digital Membership to FanWorks

Digital membership sales will remain open at least through the con weekend, so if you haven't yet purchased a membership, you can do so at any time up to and during the con itself. If you purchase a membership during the con weekend, your dashboard will automatically update with access to the digital con.

(If you already know you want to purchase a digital membership, we recommend that you do so by Sunday, August 11th. This is so that if you have any questions, we can take care of them for you before the con begins. Digital membership registrations are welcome at any time, but support for the registration process may be limited once the con begins, as staff will be busy on site.)

If you will be staying in the FanWorks con hotel, you can decorate your hotel room door! This is completely optional, but is a fun way to show off your fandoms and general fannishness.


Suggestions for decorating your door:

  • You can get as crafty with it as you like; maybe you want to make your door look like Bag End, or a Stargate wormhole, or outer space; go wild.
  • You can also get not so crafty with it, if you want to decorate more simply! You can put up some of your favorite (G-rated) images from your fandoms (past and present), fannish memes, etc., and boom, your door is decorated.
  • Highlight characters or relationships you love, your favorite quotes, locations, starships etc.
  • Show off your Hogwarts/Game of Thrones house crests, or anything else you can be fannishly "sorted" into -- someone just suggested the possibility of "Gryffindoors," and we now pass this pun on to you to do with as you will.
  • An easy way to safely decorate your door is to cover it (fully or partially) with craft paper and then add decorations over the paper. This tutorial comes schoolteacher-recommended if you're unfamiliar with covering a door with paper. (Disclaimer: we strongly recommend you use masking/painter's tape and not packing tape, and keep in mind you'll need to cut out space for the card reader -- don't accidentally decorate over your way into your room.)


We will have a limited quantity of plain black craft paper available at registration on Thursday night for covering hotel room doors. If you would like to use the con's craft paper for your door decorations, please sign up in advance here.

(If you don't sign up and there is paper still available, you can request it at registration, but quantities are limited and we won't have enough for every con block hotel room door. We recommend requesting it in advance through the form linked above.)

Scissors and a limited quantity of masking tape for covering doors with craft paper will also be available for loan on Thursday night at registration or on Friday by request at the info desk.

The extended window for attending registration will close on Tuesday, July 30th at the end of the day (in your local time).

We've kept late registration open for as long as we could, but we're sending in our final numbers on Wednesday. If you want to register and missed the main registration window, if you've been debating late registering, if you see this announcement and are suddenly inspired -- make sure your register by Tuesday night! We won't be able to add attending memberships after Tuesday.

(As a reminder: late registration is waitlisted. Once you've added your name to the waitlist, we'll approve you off the waitlist ASAP so that you can complete your registration.) 

Digital membership sales will remain open at least through the con weekend. Digital memberships are a great way to support FanWorks and enjoy the con in real time, with streaming vidshows going live (almost) every hour as they debut at the con.

With a digital membership, you get: 

- streaming access to all vidshows (over 16 hours of vids), including Premieres and the full four hour Sparkle Motion dance party show
- the con zine, including fic, art, and podfic
- a digital copy of the con program

Please take note of a FanWorks schedule change: 

The Cosplay Showcase will now kick off the Friday night festivities at 8pm, followed by our wizard rock musical guest Tonks & the Aurors at 9PM.

Saturday afternoon will now include Fandom Bingo!

Participants in Fandom Bingo will get bingo cards with fandoms in the squares. We'll play short clips from the source (labeled with the fandom name) in lieu of calling squares. If a fandom on the screen matches one on your card, mark it off! We'll have an assortment of small prizes for bingo winners.

There will be two separate Fandom Bingo games: one at 4pm and one at 5pm. These will be timed to match the panels, so that people in the 4pm panel can attend 5pm bingo (if they wish to), and vice versa. Each game will have different cards, so if you want to play both games, you can!

We will soon be accepting submissions of previously unposted fanfic, fanart, and more for our inaugural FanWorks con zine! Every attending and digital FanWorks membership comes with access to our digital zine – it’s a great way to get to know the work of new writers and artists and share your own creations! There is no limit on fandom, theme, or style.

The zine’s deadline is June 30th. You do not have to be registered for the con to submit to the zine, although if we run short of space, priority goes to attending and digital members. You can find the complete submission guidelines here: FanWorks Zine.

You can submit anything you want to the zine provided it fits the submission guidelines, but if you’re not sure where to start, you may want to consider this year’s FanWorks Variations theme of “Ignite” -- the zine will have a section devoted solely to all the different interpretations of ignition!

Submissions will officially open on the website soon, once we have everything up and running behind the scenes. We’ll post an announcement when we’re ready for you to upload your fanworks! In the meantime, please let us know if you have any questions by emailing fanworkszine@gmail.com.

Bidding is now live for the first annual FanWorks Auction! Bidding will remain open until 11:59pm UTC on Sunday, April 14. Fic, vids, art, and more are on offer! You can view all the bids up for offer HERE.

FanWorks is a new annual convention for anyone who loves fan creations such as fanfic, podfic, vids, art, cosplay, crafts, and much more. Learn more about the FanWorks convention here.

All proceeds from the auction will help the con purchase A/V equipment, upgrade things like food & beverage offerings, con decor, and the dance floor, and expand the con suite with more space, snacks, and games.

In order to bid, you will need to create an account on the FanWorks website. Don't worry -- this is free, and does not require you to register for the convention! (Though we definitely invite you to do so.) If you have any questions or run into any difficulty, please don't hesitate to email the auction staff and let us know!

Variations is an annual themed challenge for creators at FanWorks, with a new theme each year. Anyone who makes vids, art, fic, podfic, or any other kind of fanwork is welcome to make something as an interpretation of the theme and submit it to the con to be showcased in the con zine, the Variations vidshow, or the con art gallery.

The theme for 2019 is Ignite.



You can interpret "ignite" however you want! Part of the fun of this kind of fanwork challenge is how many different interpretations can come from one theme. Your interpretation does not have to be literal (the word "ignite" doesn't have to show up in your vid songs or fic - but it can if you want it to!), and you can apply the theme to any fandom or fanwork type.

Fan creations of all kinds made as a response to the theme can be submitted to various venues at the con:

Variations vidshow: Any vids made for the theme will be shown at the con in the Variations vidshow and online via con streaming. The deadline for vid submissions is July 7th.

Con zine: Any fanart, fanfic, or podfic made for Variations will be published in our digital zine, available to all attending and supporting members. The deadline for submissions to the con zine is June 30th.

Art gallery: Any textile or other 3D artforms made for Variations must be completed by August 4th and brought to the con by attendees for display in the con's art gallery.

If you are registered to attend FanWorks, you should have received an email with a link to the panel voting form and instructions on how to vote. There are a lot of great panels up for voting, so please read through the selections and choose your favorites! Panel selection plays a big role in shaping the con and we encourage all attendees to participate.

If you haven't registered yet, you can do so on the con website. Once you register, you will receive an email with instructions on how to vote on panels. If you want to register in time to vote, please register by Saturday, April 13th to make sure the instructions for voting get to you in time.

If you are registered but didn't get the email (and it isn't in your spam filter), or if you have any questions about panel voting, volunteering to be a moderator, please email fanworksprogramming@gmail.com.

Panel voting will be open for one week, closing on Sunday, April 14th at 11:59PM Pacific.

Themed vidshow submissions close tomorrow night! If you're still debating what vidshow topics to submit or fine-tuning an idea, don't forget to submit your vidshow topics before the end of the day on Sunday, April 7th.

In addition to themed shows, which are entirely curated by their VJs, FanWorks will have a variety of standard vidshows open for submissions and/or suggestions: 


Friday: 

Introductions: For the first vidshow of FanWorks, vidders can take a moment to introduce themselves! Attending vidders can submit 1-2 vids that they feel are representative of their work, as a showcase of past work by con attendees. Vids for this show can have been posted at any time, in any year, on any subject; submissions are purely vidder's choice. Any attendee who has made a vid is encouraged to submit something, regardless of whether or not you consider yourself a current/active vidder.

The Year in Vids: A vidshow featuring works from the previous year. Any vid released between September 2018 and the deadline for vid submissions is eligible for this show; submissions are open to all attending and non-attending vidders.

Premieres: Fanvids making their debut at the con. Priority is given to attending vidders, but any vidder is welcome to submit premiering vids to the show.

Saturday: 

Saturday Morning Cartoons: A vidshow for animated sources of all kinds, running on Saturday morning from 10am - noon. The vidshow playlist will be drawn from vidder submissions, suggestions, and additional VJ selections. Any vidder is welcome to submit their own work to the show. Submissions by attending vidders will be prioritized if there are more submissions than time. Premieres are welcome; please email fanworksvidtech@gmail.com if you are thinking of submitting a premiering vid to the show.

Sparkle MotionSign ups are still open for the con's vid dance party. If you want to submit a vid for people to dance to at the con, make sure to sign up first; all vid songs must be pre-approved by our VJ of dance, AbsoluteDestiny. Sparkle Motion will also take suggestions for dance favorites to show. 

Sunday: 

Quiet Morning: A vidshow for anyone looking for a soft, easy start to Sunday morning. Vid suggestions welcome for any vids that are gently paced and relatively easy to process.

Variations: Premiering vids made to interpret a theme. A different theme will be chosen each year, and digital fanworks of all kinds can be submitted on the theme to this vidshow or the con zine. This year's theme will be announced tomorrow (Sunday, April 7th); watch this space!

After you register for the con, don't forget to book a room at the con hotel (or nudge the person in your roommate group who will book)! The link to book rooms at on the hotel page on the con website.

Breakfast at the hotel

As part of our contract with the hotel, the con room rate includes the hot breakfast buffet in the hotel restaurant. Breakfast vouchers are provided for up to two people per king or up to four people per queen room, per day.

The restaurant is open for breakfast from 6:30am to 11:00am daily. The buffet typically consists of eggs, bacon, sausage, potatoes, a waffle maker, oatmeal, cereal, fruit, yogurt, coffee, and tea.

The breakfast buffet can also be purchased separately (if you aren't staying in the hotel, if you have guests visiting you, etc.) for $16.95 per person.

Parking at the hotel

Parking in the hotel lot is also included in the con room rate. If you driving to the con but not staying at the hotel, parking is $7 per day.

Airport shuttle

If you are flying in, plan on taking the hotel's complimentary airport shuttle, which is available 24/7. We'll have full instructions on where to go and how to get the airport shuttle posted in advance of the con.

How the room block is set up

The room block takes up the entire third floor of the hotel (which also holds the bulk of the con's panel rooms and event space), part of the seventh floor, and includes rooms on other floors for certain room types. Rooms are assigned by the hotel, not by us; we do not have any control over which floor your room is on.

There are still plenty of rooms left in our room block at the hotel, but if you do run into any problems booking a room, please shoot an email to jen@fanworkscon.com so we can help sort things out for you.

We've had a couple inquiries, so an update about con registration:

Registration is still open for FanWorks! Registration will be open until at least the end of June, and likely through July. (We're still working on catering deadlines to determine when we'll officially close registration before the con.) All attending memberships must be purchased before the con; registration will not be available on-site.

There is an attending membership cap (160 attendees), but if registration gets down to 15-20 available spots left, we'll announce that here and on social media to give everyone a heads up. If we hit the cap and move to waitlisting, we will announce that also. Unless you hear from us that registration is waitlisted or closed, it remains open for anyone to purchase an attending membership to the con.

If you're planning on registering but haven't done so yet, please keep in mind that panel voting begins this Sunday, April 7th, and only registered attendees will be able to vote on panels for this year's schedule.

FanFund: Member Assistance Fund

If you would like to attend FanWorks but have financial barriers to doing so, FanFund, the con's member assistance fund, may be able to help. Anyone with need is welcome to request funding. More information is available on our website:

- Click here to make a FanFund request -

When making a funding request, you can request both the absolute minimum it would take you to get to FanWorks (registration, hotel lodging, travel, or any combination of the three) and the amount of funding that isn't a requirement for attendance, but would significantly help.

How much funding is available will depend on how many requests are submitted and how much is donated to FanFund. If you would like to make a donation to the fund, you can do so when you register or any time here.

The deadline for requesting funding has been extended until Sunday, April 21st.

Gift a Registration

If you want to gift a registration to a specific individual, you can do so via the registration page. Select the option to "buy a gift registration for someone else," choose the membership type you want to purchase (attending or digital), and select any additional options you want if available (bar wristbands or a vendor table).

The form will ask you for an email address to send the gifted registration to. The person you gift it to will receive an email with instructions for how to claim their registration on the con website.

You can also purchase a gift registration when you register yourself for the con; the option to purchase a gift registration will automatically come up after you complete your own registration form.

(If you want to gift a registration but don't have a specific individual in mind, you are welcome to donate the amount of a registration to the FanFund.)

Registrations can be gifted at any time while registration is open.
